Registration Forms and Instructions

Note- March 5th, 2018 at 12:31am: 

The guaranteed registration period has now ended. If you are registering your institution for the first time, you can still complete institutional registration, but all your requested teams will start on the waitlist. They will then be subject to the waitlist allocation proceedure. If you have already submitted institutional registration and want to change the number of teams you requested, email us at stanford.usudc@gmail.com. 

Please follow the instructions that apply to you:

IF YOU ARE PART OF AN INSTITUTIONAL DELEGATION:

Step 1: Complete the institutional registration form here
  • Your institution should fill out this form only once.
  • To lock in your school’s guaranteed up to 4 teams, you need to complete this form by March 5th at 11:59pm PST, and we need to receive payment no later than 15 business days after you submit the form.
  • If you have requested registration/judge breaks and require these breaks in order to attend, please don’t fill out this form untill those breaks have been approved. If you would like to request a need-based reg/judging break, email stanford.usudc@gmail.com with a description of the break you are requesting and why you think you need it.
  • ESL teams can be registered and confirmed without counting towards a school’s 4-team guaranteed initial allocation. If you’d like to seek this exemption, see the footnote * at the bottom of this page.
Step 2: Complete payment 
  • To confirm teams, judges, and observers, we need to receive payment for your school’s teams, judges, and observers no later than 15 business days after you complete the institutional registration form. For details on how to pay, see the payment information page.
  • If you have requested more than 4 teams in your institutional registration (meaning some are automatically placed on the waitlist), you only need to send payment for the teams and attendant judges which are confirmed now (4 teams, and either 3 judges or less than 3 judges and the correct number of judge penalties). When we confirm additional teams for you, you can pay for the additional teams then.
Step 3: After completing steps 1 and 2, each member/team from your institutional delegation must fill out the relevant individual registration form. THESE FORMS ARE DUE ON FRIDAY, MARCH 30th, AT 11:59PM PST! 
  • Every team should complete team registration here. This form should be filled out once for EACH team from your institution competing at the tournament.
  • Every adjudicator should complete adjudicator registration here. This form should be filled out once for EACH adjudicator judging on behalf of your institution at the tournament.
  • Every observer should complete observer registration here. This form should be filled out once for EACH observer sent by your institution at the tournament.

Note: Official tournament “observers” are individuals not directly involved in the tournament, but who want to eat tournament food, use tournament transportation, and attend closed tournament events (eg. socials, banquet). You don’t need to register as an observer if all you want to do is watch rounds.

IF YOU ARE AN INDEPENDENT ADJUDICATOR, OR MEMBER OF THE ADJUDICATION CORE:

You should personally complete adjudicator registration here.
  • All adjudicators, regardless of whether they are institutionally affiliated, independent adjudicators, or members of the adjudication core, must complete this form.
  • THIS IS DUE ON FRIDAY, MARCH 30th, at 11:59pm PST! 

IF YOU ARE AN INDEPENDENT OBSERVER:

Note: Official tournament “observers” are individuals not directly involved in the tournament, but who want to eat tournament food, use tournament transportation, and attend closed tournament events (eg. socials, banquet). You don’t need to register as an observer if all you want to do is watch rounds.

Step 1: Complete the observer registration form here.
  • Note that each observer must complete this form (you cannot complete it as a group).
  • THIS IS DUE ON FRIDAY, MARCH 30th, at 11:59pm PST! 
Step 2: Complete payment 
  • To confirm your observer status, we need to receive your payment no later than 15 business days after you complete the observer registration form. For details on how to pay, see the payment information page.

*Footnote: ESL teams can be registered and confirmed without counting towards a school’s 4-team guaranteed initial allocation. (That is, you can be guaranteed 4 teams in addition to an unlimited number of ESL teams). If you’d like to seek this exemption, you need to do all of the following before March 5th at 11:59 pm PST:

  • Indicate that you are requesting ESL teams on the institutional registration form (there is a question on it)
  • Submit a team registration form for your ESL team(s)
  • Both members of each requested ESL team must fill out the ESL status application form before March 5th at 11:59pm PST.

(Teams can fill out these forms after March 5th, but you may not be guaranteed 4 non-ESL teams in addition to an unlimited number of ESL teams if you do).
